Job Description

The Accounts Receivable Coordinator is a role critical to customer success at WCCO Belting, a rubber product manufacturer in Wahpeton, ND. You will be working closely with our Business Development team to set up new customer accounts for success – including reviewing credit applications, investigating credit bureau information, and suggesting appropriate credit limits. You are also an integral part of our invoice process and maintaining records of payments by customers, and monitoring aging receivables. PRIMARY OBJECTIVES OF POSITION:

Administer the company’s trade credit activity in a timely, accurate and complete manner consistent with sales and accounting policies and procedures. Manages and coordinates accounts receivable activities including oversight and/or coordination of collection, reconciliation to the general ledger, and the compilation of accounts receivable reports. This position closely monitors the aging of accounts receivable and initiates appropriate steps to facilitate collection of invoices from customers.

MAJOR AREAS OF ACCOUNTABILITY:

  1. Establish customer records regarding trade credit limits by administering credit applications, credit bureau information, and a review process. Document findings and recommend A/R credit limits and system exposure limits for managerial approval.

  2. Apply cash receipts and electronic payments accurately to customer accounts (invoices). Maintain records of payments by customers, summarize receipts for bank deposit documentation, and monitor shipping activity for credit policy compliance. Request direction from supervisor regarding credit holds on shipments, discrepancies in invoice and payment amounts, and improperly taken cash discounts.

  3. Pursue collections of past due receivables by applying finance charges as required by policy and sales terms, and by maintaining systematic follow-up contact with customers and/or banks.

  4. Maintain accounts receivable aging records and report summary receivable aging information to supervisor, the head of sales, and executive management.

  5. Perform a variety of duties related to the trade credit function, including the crediting of customer accounts following authorized product returns and field warranty claims. Also provides supporting information for sales commission calculations.

  6. Timely response to customer inquiries and the research & resolution of transactional related problems.

  7. Maintain appropriate filing and recording systems.

  8. Ensure strict confidentiality and privacy of financial records as they relate to the organization and its partners.

  9. Work under time constraints to meet specific timelines.

  10. Ensure attention to detail and keen sense of safeguarding other people's property and information.

  11. Back-up for operating the company’s phone system. Answers incoming phone calls and handles information and contact requests from callers by responding to routine questions, routing calls to appropriate personnel, and managing messages received.

  12. Complies with company policies and procedures, keeps supervisor informed about work related activity, and performs other related work as apparent or assigned.

The individual is to maintain constant surveillance overall production manufacturing processes for the purpose of making improvements that will reduce cost, improve quality, throughput and safety of the Operations work force. Individual is responsible for the design and fabrication of all production machinery and tooling necessary to improve and streamline manufacturing operations.

MAJOR AREAS OF ACCOUNTABILITY:

  1. Review manufacturing operations and maintains a current project schedule which reflects current machine design and improvement requirements;

  1. Improving operations, incorporating new methods and processes; Formulates and recommends manufacturing processes and procedures, layout, and material handling methods;

  1. Provides engineering advice, compiles data and determines probable costs for process improvement projects; Applies statistical methods to estimate future manufacturing requirements, capacity potential and problem solving’.

  1. Reviews new designs during the development phase and prior to the issuance of production drawings. Recommends modifications where advisable to minimize cost and conform to production capabilities and limitations.

  1. Determines methods for manufacture during design of new products. Recommends design modifications to permit manufacture by the most favorable method;

  1. Accumulates information and prepares feasibility studies to justify the purchase of building all equipment required for new manufacturing methods;

  1. Provide engineering service to the production, engineering, facilities and maintenance departments;

  1. Keeps Supervisor informed of important developments, potential problems and related information necessary for effective process management. Coordinates/communicates plans and activities with others, as appropriate, to ensure a coordinated work effort and “team” approach.
